Back up files (Import/Export) from Outlook 2000/2002 (XP)

To back up (export) all of your data

  • Start Outlook
  • <File>, and then
  • <Import/Export>.
  • <Export to a file> (first choice) <next>
  • Scroll down and <Personal Folder File> (.pst) <next>
  • Highlight Mailbox - yourname. Check the box "Include subfolders" <next>
  • When the window pops up you will be able to name the file you are exporting. It is important that you give it a name that you will definitely remember (e. g. "your username" Outlook backup). Save it to a location where you will find it easily; your network folder or a backup folder in My Documents, or, if you're not sure you'll find it again, to the Desktop. Remember that this file can be many MB in size.
  • <Browse>
  • Choose the location to "Save in".
  • Click the down arrow and then
  • Select the drive and the folder of your choice.
  • Under "File name" (at bottom), type in the name you have chosen. <OK>
  • This will take you back to the previous window < Finish>
  • In "Create Microsoft Personal Folders" in Name: type a description of file contents
  • In Password: (below) optionally enter a password <OK>
  • File creation time is dependant on total amount of data to export

To restore (import) your data back:

  • Start Outlook
  • <File> and then
  • <Import and Export.>
  • Click on Import from another program or file (Outlook 2000) or Outlook data file (Outlook XP) <Next>
  • Scroll down to Personal Folder File (.pst) <Next>
  • Navigate to location of file
  • Under Options, choose as appropriate <Next>
  • Select Personal folders to import all, or select a single folder if desired, check Include subfolders
  • Choose Import items into the same folder in:
  • Pull down menu and choose Mailbox - User Name <Finish>
